Transcript of Records – required information
Universities use your transcript of records to assess your earlier studies, so it needs to contain certain information. If your official transcript does not show everything, you can usually fill the gap with an additional official document from your institution. The exact requirements are set by each university, so read its instructions as well as the general guidance below.
Course units
If the transcript of records does not include the full names of the study units, you will usually need an additional document that explains them, for example a syllabus. The document should be officially certified by the awarding institution.
Completion times of study units
If your transcript of records does not show when the study units were completed, a separate document may be needed. This is usually an officially certified document from the awarding institution that states either the completion times of the individual study units or your overall time of study at the institution. Information on the usual length of the programme is generally not enough.
Grades
If the transcript of records does not include the grades obtained, you will usually need an officially certified document from the degree-awarding institution that shows them.
Credits
If your transcript of records does not show the credits awarded for individual study units, ask your institution for a separate officially certified document that does. If your institution uses a system other than credits, the document should show the extent of each study unit in another way, for example as the study hours needed to complete it.
Grading scale
Some application forms ask you to describe the grading scale used at your institution at the time of study. The description should cover all the grades and marks that appear on your transcript, show how they relate to each other, and make clear which are the highest and lowest grades and which grades are a pass or a fail. You may also be asked for a link to an official website where the grading scale can be checked.
If no official website describes the grading scale, the information should ideally be on the transcript itself. If it is not, a separate official document describing the grading scale may be needed, issued or certified by the awarding institution.
